RESERVATIONS: Please call 913-369-3939 or email groupgetaways@aol.com to make a reservation. All tours require advance reservations. Your reservation is confirmed when payment is received. EARLY BOOKING BONUS: Every tour offers an Early Booking Bonus opportunity for those who reserve and make payment by the Early Booking Date listed. PAYMENT: Personal checks or money orders made payable to Group Getaways, PO Box 503, Tonganoxie, KS 66086. We also accept Visa & MasterCard for final payment only. DEPOSIT: A deposit of $50 per person is required to hold a reservation for overnight tours. If the overnight tour is less than $100, full payment is required. FINAL PAYMENT: Final payment is due 45 to 60 days prior to departure for most tours. The final payment date is listed for each tour. DAY TRIPS: Payment in full is required to secure a reservation. CANCELLATIONS/REFUNDS: If you cancel a tour before the final payment deadline, you will receive a full refund if paid by check. Credit card payments will be refunded less a 5% fee. Once the cancellation deadline has passed, the tour is non refundable. We highly recommend cancellation insurance to protect your loss. If the tour is sold out and we are able to fill your seat there is no penalty. If you re-fill your seat, there is no penalty. TRIP CANCELLATION INSURANCE: We highly recommend Travel Guard Trip Cancellation Insurance to protect your losses should you need to cancel for covered reasons. Insurance premiums are non refundable unless Group Getaways cancels the tour. If Group Getaways cancels the tour you will receive a FULL refund including the insurance premium. The cost of insurance is determined by the tour price. PRICE INCLUDES: Each tour lists what is included in the price. LUGGAGE: Each participant is allowed one large piece of luggage (not to exceed 40 pounds) and one small carry-on. The carry-on bag cannot have wheels and must be able to fit in the overhead compartment of the coach. A luggage tag for your checked bag will be mailed with the final documents. Your carry-on bag stays in your possession. All checked luggage MUST have a Group Getaways luggage tag attached. ATTIRE: Layered casual clothing is the norm. If special clothing is required for a particular tour, it will be advised in the travel documents that are mailed to you. Comfortable walking shoes are highly recommended. HOTELS AND REQUESTS: Special requests such as a room next to another traveling companion, smoking room, or specific bed type needs to be requested at time of reservation. We will do all we can to accommodate your request. Please note that it is a request only and no guarantees can be made. GUARANTEED SHARE PROGRAM: If you are a non-smoker and would like a roommate for cost savings, let us know when making your reservation. We will pair you with another traveler of the same gender. If we do not find a roommate for you, you will still enjoy the same low share rate and have the room to yourself providing your reservation and payment is received by the Early Booking Date. If reservation and payment is received AFTER the Early Booking Deadline, we cannot guarantee the share rate. SMOKING: Smoking is not permitted on the motor coach. Break stops are made along the way to accommodate our passengers. Many hotels do not offer smoking rooms or they have limited smoking rooms. SINGLE SUPPLEMENT: The higher rate is based on the room charge. EX: Your room cost is $100.00 per night so you would pay $100.00. If you have a roommate, you would each pay $50.00. Generally, the room price is the same for 1 or 2 people. The more nights you stay, the higher the difference is between the single and other sharing rates. This is why we offer the guaranteed share program. MEALS: We will do all possible to satisfy special meal requests. If you have food allergies or are vegetarian, please let us know when making your reservation. Often times a full service restaurant will accommodate you if they have enough advance notice. We offer snacks and treats on the coach. Please let us know if you can’t have certain foods. This is especially helpful for our diabetics on board. Please let us know at time of reservation. TRAVEL DOCUMENTS: Approximately two weeks prior to the trip, your travel documents will be mailed to you. Documents include a detailed tour itinerary, departure information, hotel information, clothing suggestions, luggage tag, medical form, and any other information pertinent to that particular trip. PICK UP POINTS: Will be listed with each tour. Please be at your pick up point at least 15 minutes before departure in order to load the luggage and depart on time. Please note that pick up points may change at any time. GRATUITIES: The tour price includes gratuities for the local step-on guides and docents, meals that are included on the tour and luggage handlers. End of tour gratuities for the motor coach driver and tour director are not included and should be based on the quality of the service. The travel industry recommends $2 to $3 per person, per day for each the driver and director. This is at your discretion; given at the end of a tour. MOTOR COACH SEATING: Most coach seating is on a first come basis. We do not reserve seats unless it is due to a medical condition. Some tours will have a seat rotation which is determined by the tour director. MOTOR COACH RESTROOMS: Normally, we offer break stops every 2 to 2 ½ hours. Depending on routing, sometimes it may be a bit longer than 2 ½ hours. All of the coaches are equipped with a restroom on board. RESPONSIBILITY: Many things beyond our control can change from the time a tour is planned to actual tour operation. We reserve the right to vary itineraries and substitute facilities when necessary. Group Getaways is not responsible for any act, omission or event during the time passengers are not on board the conveyances used on the tour. Group Getaways acts only as an agent for tour members in arranging room accommodations, transportation, sightseeing, admissions and restaurants. Group Getaways is not responsible for any losses or damages of personal property, or for injuries, expenses or damages incurred by any traveling tour member. |
